SUMMARY OF KEY RESPONSIBILITIES

Responsible for the accurate and timeous processing of Goods Received Notes (GRNs) on the accounting system for all stock, material and service transactions, ensuring that all deliveries are matched against purchase orders and invoices, and that stock and creditor records are kept up to date.

REQUIRED MINIMUM EDUCATION / QUALIFICATIONS:

Minimum Education
Matric (Grade 12); a certificate/diploma in Bookkeeping, Accounting, Supply Chain or Logistics will be advantageous

Additional Qualifications
GRN / stock control administration
Computer literacy, including MS Excel and accounting/ERP systems
Basic office administration / bookkeeping

Minimum Work Experience
At least 2 years’ experience processing GRNs, stores/creditors administration or accounts payable, preferably within a similar industry (Electrical/OHTE/Power/Construction)

SUMMARY OF RESPONSIBILITIES

GRN Processing

  • Capture Goods Received Notes (GRNs) on the accounting/ERP system for all stock, material and service transactions;
  • Match delivery notes, purchase orders and supplier invoices before processing;
  • Verify quantities, descriptions and pricing received against the relevant purchase order;
  • Follow up on outstanding or unmatched delivery documentation with suppliers, sites and stores;
  • Liaise with stores and procurement on discrepancies, i.e., short deliveries, damages or incorrect items;
  • File and maintain GRN documentation for audit purposes;
  • Reconcile the GRN register against stock and creditors records;
  • Report on outstanding GRNs and discrepancies to the Supervisor;
  • Receive stock from suppliers, sites and contractors, check, confirm and receipt into the accounting system;
  • Ensure all GRNs raised against orders are dispatched/processed for payment timeously;
  • Maintain accurate and up to date GRN records for all stores assets and transactions.

Administration

  • Receiving of orders and supporting delivery documentation;
  • Assist with inspections, i.e., identification of goods received and log sheets;
  • Complete GRN and stock/creditor information documentation;
  • Execute the receiving and processing of GRNs for stock and services;
  • Raise GRNs against the relevant purchase orders and accounts on the accounting system;
  • Verify stock and quantities received against purchase order numbers;
  • Prepare GRN and stock requirements timeously;
  • Maintain effective GRN and stock control administration at all times;
  • Process stores/finance documentation relating to GRNs;
  • Assist with monthly stock takes and reconciliations;
  • Report any GRN discrepancies to the Stores Supervisor / Stores Lead;
  • Ensure proper filing and housekeeping of GRN records;
  • Report on GRN processing status and stock control.
